The Client
Based 25 minutes North of the city, this wholly Australian-owned company specialise in the design and engineering of expert software and hard ware design for communications and surveillance related projects, predominately within the Defence arena.
The Role
As the Office Manager, you will ensure the smooth and effective running of the office. Reporting to the Commercial Manager interstate who travels down very regularly, you will frequently liaise in order to fulfil the requirements to run the department efficiently. Managing a small admin team of 2 Document Controllers and a Receptionist, you will be responsible for the following duties:
- Following up Accounts enquiries
- Coordinating reception activities
- Delegating work schedules to other admin staff
- Weekly/ Monthly reporting
- Document Preparation
- Project Management
- Facilities Management
- Overseeing the purchase and maintenance of equipment and supplies
- Liaison between Management/ Engineers and support staff
- Overseeing office record keeping procedures
You will also be required to be the HR point of contact within the SA Office, therefore an understanding of HR procedures will be an advantage.
The Candidate
This position will suit a mature minded individual with a diplomatic approach. Ideally you will have a minimum of 5 years experience in a Senior Office role of some sort working in a role that found you working end-to-end and providing you to exposure to all facets of business (eg SME client)., with a willingness to take on a wide range of responsibilities. In order to fulfil the brief, candidates will have the following:
- Experience working in a Project Orientated business with a high degree of confidentiality
- Supervisory, Leadership, Professionalism and Mentoring skills, setting the example
- Basic accounting exposure Ie. Debtors / Accounts Payable / Receivable
- Management experience, where previously you have had to adapt, implement and manage changes, processes and assess better ways of doing things
- Advanced Word skills and intermediate to advanced Excel and PowerPoint skills
- HR experience, hands on, including people and performance, resoluation and change management
- The ability to handle change and interruptions , highly busy periods and periods where slowness requires innovation
- Exceptional organisational skills
- Excellent communication and inter-personal skills with experience working with difficult situations and confidentiality.
